Monthly Reminder to Keep your PC Running Smoothly

Our computers are amazing!! They do, however, need some user maintenance to continue to run properly, and to keep disk space clear for proper operation. Once a month, you should run through these steps to keep your

PC in proper working order. Managers, please make sure you discuss these steps with your teams and that they understand this needs to be done monthly.

 

How to maintain your computer:

 

  1. Empty your recycle bin
  2. Empty your download folder
  3. Delete unneeded photos and videos

 

 

How to Maintain your Outlook

 

 

Fact - On your desktop outlook app, you have 50gb of space to use, that includes your individual email, and any shared boxes that you have on your desktop outlook, including calendars. It is imperative to clean these boxes out, because if you get near your 50gb allowance, your desktop Outlook will freeze and will not receive or send out any emails, you will also not be able to delete emails or move them into folders on your desktop app.

 

To clean out your email:

Go to webmail

How to get there - https://priorityus.sharepoint.com

You may have to login using your email and password, or phone verification

Click the 9 dots

Select Outlook

This is your webmail!

  1. Clear out your sent items that are no longer needed
  2. Clear out your deleted items
  3. Select your In-Place Archive

When you open the In-Place Archive, the folders within match the folders within your Inbox folder

Go through each folder and clear out unneeded items, and delete folders that are no longer in use

When completed, use the same method to clear out any shared inboxes (elect one person from your team to maintain the shared box)

 

 

How to get to your shared box -

In the top right corner of webmail - click on your picture icon and select "Open another mailbox"

Type in the email address of your shared box in the pop up here:

 

Select "Open" and a new tab will appear that is your shared box

Follow the same steps above to clear out the shared box

**Please note – we recommend using shared boxes in Webmail only to preserve storage space on your desktop outlook app**
