FAX MAILBOX INFORMATION
HOW TO ADD THE FAX BOX TO YOUR INBOX
Open Outlook and Click File tab → Select Account Settings → Select Account Settings again from the drop down:
Then click Change under the Email tab to open the Offline Settings window.
Click More Settings on bottom left of Offline Settings window
→ In the Microsoft Exchange window, go to Advanced tab and select Add…
→ Type in “fax” in the Add mailbox textbox.
Click Ok and then click Ok again to close out of Microsoft Exchange window.
Click Next and then click Done to get out of Offline Settings window.
Click Close to get out of Account Settings window.
You should then have the fax mailbox in the left-hand menu:
FAX MAILBOX RULES
As a rule, never mark a fax as read unless it yours or you forwarded it to the pod or person it is directed toward. If you mark something as read in here but did not forward it to the person it is addressed to, that person must scour through all the faxes to find what they are looking for.
To avoid this, please do not mark something as read and leave it like that if you did not forward it to the person who it was addressed to.
In order to show that the fax has been addressed, add a checkmark to that email by marking it as complete if you forwarded to who it belongs to. To mark something as complete, right click and go to the Follow Up then click Mark Complete:
If your email settings are set up to mark items as read as you select them, it is highly recommended that you change that. In outlook, go to File → Options → Mail and then select the Reading Pane box.
Uncheck the “Mark items as read when selection changes” box. Save changes.
